Job Status: Salary, exempt, normally Monday-Friday, occasional weekends
Location: Phoenix, AZ (Hybrid/Remote)
Salary Range: $55-70,000

About the Position
The Executive Assistant (EA) will serve as a trusted partner to the Executive Director, ensuring effective and efficient management of daily operations, communications, and strategic initiatives. The EA will manage schedules, coordinate meetings and travel, and handle confidential and time-sensitive information with discretion. This role requires a high degree of professionalism, emotional intelligence, attention to detail, and a deep commitment to our mission and values.
Primary Duties and Responsibilities
Administrative & Operational Support

Manage the Executive Director’s calendar, scheduling meetings, appointments, and travel arrangements

Prepare agendas, take meeting minutes, and track follow-up actions

Draft, proofread, and format correspondence, reports, and presentations

Support the Executive Director in preparing for speaking engagements, media appearances, and other events
Communication & Stakeholder Engagement

Serve as a liaison between the Executive Director and internal/external stakeholders

Prioritize and manage incoming requests and correspondence on behalf of the Executive Director

Ensure timely communication and follow-up with partners, donors, and community members
Project Management & Strategic Support

Assist with special projects

Conduct research and compile briefing materials to inform decision-making

Track deadlines, deliverables, and cross-departmental initiatives to support strategic goals
Required Qualifications:

3+ years of experience supporting senior executives, preferably in a nonprofit or mission-driven organization

Deep alignment with our mission to advance racial justice, immigrant rights, and equity for Black and Brown communities

Exceptional organizational, time management, and problem-solving skills

Strong written and verbal communication abilities

High emotional intelligence and the ability to navigate sensitive issues with discretion and care

Proficient in Microsoft Office Suite, Google Workspace, and virtual meeting platforms (e.g., Zoom, Slack)

Experience with project management tools (e.g., Asana) is a plus

Bilingual (Spanish/English) a plus
