The Position
We are looking for a reliable Operations Associate whose primary focus is to support the operations manager with the management of the day-to-day business for multiple entities across the state. The operations associate’s responsibilities will include performing administrative tasks, assisting other departments as needed, and ensuring smooth daily operations. Hired candidates will support several campaigns with logistics throughout the year. In order to succeed, operations associates should be highly organized, willing to be flexible, travel from time to time, and support the organization’s management team and office workflow. The position will be supervised by the Operations Manager and will play a critical administrative and systems support role.
Primary Duties and Responsibilities

Monitors inventory on a monthly basis and places supply orders as required

Supports the operations department with the enforcement of company policies and standards

Maintains filing systems for all receipts and invoices via Expensify for reimbursements, budget request, purchases, etc

Accurately tracks and processes budget request

Accurately tracks and processes reimbursements request to Operations Manager

Performing administrative duties including but not limited to answering phones, scheduling appointments, and providing operational or logistical support to other departments/employees

Manage office cleanings and roster for cleaning personnel

Maintains open communication with the Landlord and supervisor, including reporting all office issues

Coordinate events as necessary and helps to organize logistics for pre-set organizational training/events

Organize travel by booking accommodations and reservations needs as required

Update mailing list, and online shop supply list

Maintaining separate financial and administrative records

Other responsibilities as assigned
Qualifications

Positive attitude with a strong work ethic and willingness to learn

Ability to manage multiple priorities simultaneously

Ability to be flexible and understanding with changes, and willing to travel for work when necessary

Proven organizational, interpersonal, and project management skills necessary

Knowledge of principles, practices, methods of day-to-day office management functions

Exceptional customer service, communication (writing, editing, verbal, and presentation) skills are necessary

Ability to communicate with all levels in the organization, both verbally and in writing

Proficient with Microsoft Office (Excel, Word, PowerPoint), PDF, Dropbox, Google Suite (Gmail, Calendar, Google Drive), Expensify, Asana, QuickBooks, and other online shipping merchants, 1-2 years preferred)

Ability to work independently and exercise judgment to be able to analyze and solve a variety of questions or problems

Must be able to work long hours seated and in front of a computer

Must be able to lift and carry items weighing up to 50 lb

Must have reliable transportation, must maintain and show proof of valid insurance and have proof of a valid driver’s license

Bilingual: English– Spanish is preferred but not required

High School Diploma or GED
